Privacy Policy
Espesyal Pinoy (Singapore) respects your privacy. This policy explains how the Society collects, uses, discloses, protects and retains personal data submitted through this membership service.
Personal data we collect
We collect information you provide, such as your name, email address, Singapore address, contact phone number, NRIC, account credentials, membership application details, profile information and your policy acceptances. For the Society census, this may include family-member names, dates of birth, FINs, disability or diagnosis information. Claims may include receipts, payment instructions and bank or PayNow details. We also process limited technical records needed to operate and secure the service, such as login, session and security logs.
Passwords are stored in hashed form; the Society cannot read your password.
Why we use it
We use personal data only for reasonable purposes connected with the Society, including to:
- review, approve or decline membership applications and maintain the member register;
- create and secure accounts, verify identity, and provide password resets;
- administer membership, activities, programmes and member communications;
- maintain the Society census, process reimbursement claims, and record photo-publication choices;
- provide relevant support and connect members with community resources where requested;
- keep governance, consent and security records; and
- meet legal, regulatory and Society constitutional obligations.
How we share data
Access is limited to authorised Committee members, volunteers and service providers who need the information for these purposes. Providers may include website hosting, database and email-delivery services. We may also disclose information when required by law, to protect safety or legal rights, or with your further consent. We do not sell personal data.
Protection and overseas processing
We use reasonable administrative, technical and access safeguards appropriate to the information. No online service can guarantee absolute security. Where a service provider processes data outside Singapore, the Society will take reasonable steps to ensure a standard of protection comparable to that required under Singapore's Personal Data Protection Act 2012.
Retention
We retain personal data only while it is reasonably needed for membership, Society governance, safety, dispute resolution, or legal and regulatory purposes. When it is no longer needed, we will delete, anonymise or securely dispose of it, subject to backup cycles and lawful retention requirements.
Your choices and requests
You may ask to access or correct your personal data, withdraw consent with reasonable notice, or raise a privacy concern by emailing friends@espesyalpinoy.org. We will explain any applicable limits or consequences; withdrawing data required to administer membership may mean that we cannot continue providing the account or membership service.
Cookies and sessions
This service uses essential cookies and session storage for sign-in, security and core site operation. These are not used to sell personal information.
Policy changes
We may update this policy as the service or legal requirements change. The effective date and version above identify the policy accepted during registration. Material changes may be communicated to members or require renewed acceptance.
